Spectrum's Service Contracts module provides a high level of control over all aspects of service contract management, including billing, advanced scheduling, profitability analysis, and warranty tracking. Service Contract can also be a powerful marketing tool in demonstrating the benefits of a service contract to potential customers.
The Spectrumâ„¢ Service Contracts module promotes greater control over service contract revenues and costs. Through reports and various inquiry screens, the profitability of contracts can be evaluated. Contracts can be revised as needed at renewal to ensure profitability.
Service Contracts has the ability to generate the initial contract proposal and the executed proposal (contract), and automatically perform billing as agreed upon in the contract. The contract renewal/expiration report ensures that customers are retained by listing contracts coming up for renewal, before they actually expire.
Individual systems and specific components covered under a contract may be set up with corresponding warranty information. When processing a work order, Service Contracts works with the Work Order module to flag customers under contract/warranty and notes how they should be billed. And Spectrum automatically creates work orders for scheduled maintenance.
Features
- After selecting the option 'Suppress subtasks in work ordered for repeated tasks on a work order' on the Service Contract Installation screen, the repeated subtasks and related notes on work orders created using the Service Contract Work Order Processing are suppressed.
- User-defined contract types can be set up and the profitability of each type can be easily reviewed via inquiry screen or report.
- Work orders are automatically created for scheduled service contract visits.
- Tasks to be completed are listed by labor category.
- Service Contracts has the ability to generate the initial contract proposal and the executed proposal (contract), and automatically perform billing as agreed upon in the contract.
- Planned service visits can be scheduled for the entire contract year, including projected hours to complete, systems to be worked on, parts required for each visit and the tasks that will be performed.
- Pop-up windows during processing allow you to view the contracts for that customer site, the systems/components under contract and whether they are covered under warranty, maintenance agreement or not covered.
- Multiple contracts can be set up for the same customer site. Up to three warranty coverages can be entered for the same system and/or component.
- Labor and material costs can be tracked at the system and/or component level for use in inquiry and report generating purposes.
- Warranty manufacturers can be entered with standard labor rates for automatic billing during work order processing.
- Unlimited exceptions and other notes can be entered for each service contract.
- Billing of service contracts are automatically generated based on user-defined billing periods for each contract.
- The make, model, serial number and location of each system and its components are tracked by the module.
- The module can be set up to print no-charge invoices for customers or manufacturer's warranty invoices.
- Multiple GL departments for different types of service work are supported.
- Service Contracts is integrated with the Accounts Receivable and Work Order modules to ensure accuracy and reduce input time.

Reports
Service Contract Profitability Report:
This report provides, by summary or a detail, information by type of service contract showing profit and profit percentage. Information is presented about revenues, warranty work, full service contracts, labor, materials, and extra work performed which was not covered under contracts or warranties. Historical information is retained for an unlimited amount of time, based on disk capacity, and can be accessed by dates selected.
Service Contract Schedules:
Actually three reports: Detail, Summary or Weekly. Each generates a complete listing, by contract, of scheduled visits and the tasks to be performed. The reports show projected hours, and is a superior tool in scheduling projects and workers needed to handle work flow in a given week, or other period of interest.
Service Contract Printing:
The actual service contract is printed, showing all systems/components covered, their make, model, serial number and location. Standard terms and conditions, billing period and contract amounts are set-up by the user and appear in this report. The contract is easily modified if changes are made, and a new contract can be printed at any time.
