Accounts Payable

Accounts Receivable

Spectrum's Accounts Receivable module is designed for the construction industry. The wide variety of contract and payment types are easy to understand and handle with the system. Complete integration with other Spectrum modules ensures total control over industry-unique receivables management issues.

Cash Management

Spectrum's Cash Management module provides contractors with an efficient method of tracking and maintaining cash assets. Fully integrated with Accounts Payable, Accounts Receivable, Payroll, Job Cost, and General Ledger, Cash Management automatically accumulates all cash-related transactions during routine daily processing.

Confidential Payroll

Spectrum's Confidential Payroll provides all of the features of the regular Payroll module. Additionally, complete security for selected employee payroll and personnel records is ensured. Paychecks are printed separately. Reports are separate from general payroll reports. No double entry work on the General Ledger or tax reporting is needed.

Document Imaging

Imaging technology has been around for years. With the advent of Spectrum™ Document Imaging, however, it's now practical for construction management. That's because Document Imaging is not just an add-on. With Spectrum Construction Management Software, it's fully integrated, built in from the ground up.

Spectrum Document Imaging lets you incorporate documents - AP invoices, time cards, change orders, etc. - into your everyday workflow. For example, when a vendor invoice arrives, you immediately enter it into Spectrum, press the Image button and put the invoice into the scanner. The invoice is scanned and the image is automatically indexed and attached to the invoice. Automatic indexing eliminates the possibility of error. Reporting is immediately available to show pending invoices, and how long they've been outstanding (very helpful at month end for WIP and for cash requirements reporting). The approver - a Project Manager, for example - receives an email announcing that invoices are ready for approval. The approver goes to the invoice approval screen to view pending invoices. Thanks to Document Imaging, the approver can view the original invoice on screen and can even attach notes to the invoice with questions or instructions. Once approved, the invoices are routed back to accounting for payment.

Equipment Control

Spectrum's Equipment Control module enables equipment to be charged to jobs and provides profit reporting for each piece of equipment. It tracks all costs associated with individual pieces of equipment. All revenue generated through the use, or rental to outside parties, of each piece of equipment is readily recorded and allocated.

Equipment Tracking

Spectrum's Equipment Tracking module is designed to track and charge your company equipment, tools, and inventory to jobs. A single, easy to use screen allows shop personnel to track all movements of your equipment such as issues and returns. To make the process even easier, Spectrum supports bar code scanning for these transactions. Equipment Tracking ensures that equipment never gets "lost."

Esti-Link

Spectrum's Esti-Link module can be used as a link between your estimating program and Spectrum. Esti-Link provides a fully automated method of transferring estimates to Job Cost, where job detail is automatically created. The job is set up in Job Cost, subcontracts are set up in Accounts Payable / Subcontract Management, and the contract is set up in Accounts Receivable. Manual re-entry of estimates in Spectrum is eliminated! Time is saved and accuracy is improved.

Fixed Assets

Fixed Assets is designed to track assets and calculate depreciation amounts for financial reporting purposes. The Fixed Assets module greatly simplifies management of the depreciation of the company's fixed assets. Monthly depreciation amounts are automatically posted to the correct General Ledger Asset Account, and to the equipment control system, if desired.

General Ledger

Spectrum's General Ledger module is the heart of this accounting management system and is designed for the construction industry. Spectrum's report generation features make access to General Ledger information a truly powerful financial management tool.

Info-Link

Spectrum's Info-Link module is a powerful tool that allows you to access all your Spectrum data using familiar programs such as Microsoft® Excel, Access, and Word, and Seagate Crystal Reports™. With Info-Link, you can utilize your Spectrum data to create reports, queries, spreadsheets, and graphs using any application which supports the Open Database Connectivity (ODBC) standard. ODBC is a common programming interface which allows various Windows programs to work with various databases.

Inventory Control

Spectrum's Inventory Control module tracks all inventory activity. Inventory may be requisitioned to jobs or sold directly to customers. Advanced reporting capabilities provide all of the information needed to make better purchasing and sales decisions.

Job Cost

Spectrum's Job Cost module provides project managers, controllers, and owners with all the information necessary to keep jobs on track and spot any potential cost overruns.

Accurate and timely monitoring of job costs and profitability can make or break any company. Job Cost provides an easy way of monitoring profitability on any job with completely up-to-date information. Tight integration with other Spectrum™ modules allows updates to Job Cost virtually as soon as information is entered into other modules. For example, daily time card entry in Payroll ensures accurate labor costs at all times.

Order Processing/Invoicing

Spectrum's Order Processing module provides a complete operation for order entry, picking, confirmation, and invoicing of customer sales for both future delivery and over-the-counter sales. It improves efficiency, decreases processing time, lowers administrative costs, and reduces invoice lag time-which may improve cash flow. The highly flexible order entry process easily handles stock and non-stock items, partial shipments and back orders, special orders, drop shipments, discounts, and credit memos.

Payroll

Spectrum's Payroll module is designed to meet the very unique requirements of the Construction Industry. Within the same pay period, multiple pay rates, multiple states, and multiple union fringes may be handled in order to efficiently process a payroll cycle. Spectrum's Payroll system not only tracks the direct cost of labor, but it calculates all of the employer taxes, union benefits, fringe benefits, and allocation of other overhead, such as G & A expenses, small tools, and hours of equipment usage. The time card entry allows unlimited job and phase distributions with multiple pay rates per employee and per union.

Purchase Order

Spectrum's Purchase Order module provides a complete control system for material purchases for jobs and inventory. Purchases for a job update the committed cost for the job as soon as the purchase order is entered. This allows a potential cost overrun to be identified as orders are being placed. Received purchase orders automatically create AP invoices in Spectrum's Accounts Payable module.

In addition, Spectrum™ makes it easy to compare competitive quotes from vendors. A proposal system helps you gather quotes and select the best prices. Spectrum then automatically creates individual purchase orders for each vendor selected.

Query and Dashboards

Spectrum's Query and Dashboards are a collection of graphic displays and database queries that provide real-time access to key performance indicators (KPI's) for your company. Specific dashboards are included for executive, operations and financial personnel.

Resource-Scheduling

Managing the scheduling of employees and equipment is always challenging – Resource Scheduling software from Dexter + Chaney can help!  This new module manages the assignment of employees and equipment resources across jobs.  After new assignments have been created using the Resource Schedule Board, the assignments are then automatically e-mailed to the employee.  This powerful new module can also coordinate equipment moves well in advance, enabling you to effectively and accurately plan, and manage your scheduling efficiently.

Time + Materials Billing

Spectrum's Time + Material module provides contractors with an easy method of calculating and preparing time and material invoices and billing details for ongoing jobs. Contractors who bill on a time and material or cost-plus basis will find that this module provides a simple and efficient way of tracking and billing these jobs. Bills are produced as soon as the costs have been committed, eliminating the need to wait for all the invoices to arrive and for payroll to be processed.

Work Order

Spectrum's Work Order module provides a complete billing, tracking, and dispatch system for companies that perform service work. With Work Order you can control service activity, review customer service history, quickly invoice work performed, and control profitability for each invoice. Reporting provides customer history and profitability across a variety of selections.
